You write your operation's rules once, such as who may fly what, how far ahead people can book, and when an instructor must be on board, and choose for each whether it advises, asks for approval or blocks. Every booking is checked against them before it's made, and every result says which rule, why, and what would resolve it. Nothing is refused without a reason.

How it works

  1. Write the rule. Pick a check, say which kinds and types of aircraft, kinds of flying and roles it covers, and how firmly it applies: advise, ask for approval, or block. Or tell Ralph: “Dual bookings need an instructor.”
  2. Every booking is checked. Each check passes or fails with a reason and a hint at what would fix it, whether the booking was made on the schedule, on a phone or by Ralph.
  3. Decisions are on the record. A held booking waits for someone with the authority to approve it. The approval or refusal, and why, is kept with the booking.

What can a rule check?
That the pilot holds an authorisation for the aircraft or its type, that the aircraft is airworthy, that the booking is within how far ahead and how late people may book, that it's within the allowed length, that an instructor is booked where one is needed, and that it falls inside your opening hours. Each rule says which kinds and types of aircraft, kinds of flying and roles it covers.
Does a failed check always refuse the booking?
Only if you say so. For each rule you choose to advise, to hold the booking for approval, or to block it. An advisory lets the booking through with a note; a hold keeps the slot while it waits for someone to approve it, and lapses if nobody does in time.
Who can approve a held booking?
The people your organisation gives that authority, such as instructors or staff. Their approval, or their refusal and its reason, is recorded with the booking, with who made it and when.
Can I see why a booking was held, later on?
Yes. Every check's outcome is kept with the booking, so "why was this held?" has an answer long after the flight.
Can I check a booking without making it?
Yes. People and agents can ask for the verdict on a booking before making it, and Ralph always checks before it books.
